SaaSHR software playbook

Marketing for HR software that HR leaders will actually shortlist

HR buyers pick tools that sync with the HRIS and payroll they already run, carry peer reviews, and survive a security questionnaire. Outpost builds that presence for you, one receipted action at a time.

01 · DISCOVERY

How customers find you

HR software is rarely bought from an ad. An HR generalist or People Ops lead hits a concrete problem (manual onboarding, a new state leave rule, an audit), searches for how other teams handle it, and builds a shortlist from G2, Capterra and colleagues on LinkedIn or in their SHRM chapter. The first filter is usually 'does it integrate with our HRIS or payroll', so the BambooHR Marketplace, payroll app directories and Zapier act as discovery channels, not just plumbing.

The buying journey

Problem search or peer tip, then a shortlist on review sites and integration marketplaces, then a demo or trial with the HR lead. IT or security gets pulled in early because HR systems hold employee personal data, and finance signs off on per-employee pricing. Deals stall when there is no security page, no integration with the existing HRIS, or no clear answer on data handling.

What SaaS teams aim for

  • Get listed in the HRIS and payroll marketplaces your buyers already use
  • Build a real review base on G2, Capterra and TrustRadius
  • Rank for the policy and compliance questions HR teams search every week
  • Book demos with HR leaders at companies in your target headcount band

02 · CHANNELS

Channels, ranked by what matters most

Ranked 5 (essential) to 1 (optional) by the research for this industry.

  1. HRIS, payroll and automation marketplaces

    Essential

HR teams filter tools by whether they connect to the system of record. BambooHR's Marketplace requires a signed agreement, a third-party security audit (SOC 2, ISO 27001, FedRAMP or HITRUST), docs, product images and a demo URL, so plan the listing early. Zapier is the fastest first integration listing.

  2. B2B review sites (G2, Capterra/GetApp/Software Advice, TrustRadius)

    Essential

Shortlists are built here. G2 is B2B-only and its free profile carries no website link, so the value is category presence and reviews, not referral clicks. TrustRadius expects a GA product with 100+ customers before a profile is worthwhile.

  3. Policy and compliance content

    High

HR professionals search for how-to answers (PTO policies, onboarding checklists, handbook sections). Dated, sourced explainers and templates earn trust and links over months, and they map directly to product features.

  4. Founder posting on LinkedIn

    Medium

HR leaders are active on LinkedIn, where much public discussion of HR practice happens. Practical posts (a checklist, a lesson from a customer rollout) outperform product announcements and build recognition before the demo.

  5. HR community participation

    Supporting

SHRM chapters, HR Slack groups and r/humanresources are where practitioners ask for recommendations. Each community sets its own promotion rules, so answer questions and disclose your affiliation rather than posting links.

06 · AVOID

Common mistakes

  1. Treating 'HR' as one buyer

A benefits manager, a recruiter and a People Ops lead search for different things and sit in different communities. Pick the persona your product actually serves and write for their week, not for 'HR professionals'.

  2. No answer for the security review

HR systems hold employee personal data, and marketplaces like BambooHR's require a third-party audit before listing. Without a security page and a plan for SOC 2 or equivalent, deals stall after a great demo.

  3. Undated compliance content

Employment rules change. A confident article on leave law with no date or primary-source link erodes trust with exactly the readers you want. Date it, cite it, and revisit it.

  4. Expecting a free G2 profile to send traffic

Free G2 profiles carry no website link. The listing earns its keep through reviews and category presence, so budget effort for collecting reviews, not just claiming the page.

07 · WHAT OUTPOST DOES

How Outpost helps

  • Prepares G2, Capterra, TrustRadius and SaaSHub profiles with consistent categories and integrations, for you to submit, with a receipt for each

  • Lays out marketplace requirements (BambooHR, Zapier) for your integrations and drafts the listing copy

  • Writes policy and compliance explainers that cite primary sources and carry a last-reviewed date, then tracks their rankings over the following months

  • Drafts founder LinkedIn posts from each article, posted once you approve

  • Tracks whether AI assistants name your product for prompts like 'best onboarding software for a 100-person company'

  • Writes open-enrollment and planning-season articles, and you set their dates on the Calendar so they're live when buyers have time

Every action Outpost takes gets a receipt: the live URL, a timestamp and what it drove, or “nothing yet”.See how receipts work

08 · QUESTIONS

Frequently asked questions

Do HR software buyers really use G2 and Capterra?

They are standard shortlisting sources for B2B software, including HR. Note that G2 accepts B2B products only and its free profile has no website link, so treat these listings as a place to earn reviews and category visibility rather than a traffic source.

We don't have SOC 2 yet. Can we still list on HRIS marketplaces?

Some marketplaces require it: BambooHR asks for a third-party audit such as SOC 2, ISO 27001, FedRAMP or HITRUST. Start with review sites and Zapier, publish an honest security page, and plan the audit before applying to stricter marketplaces.

Is 'hr tech marketing' worth ranking for?

Not on its own; keyword tools show almost no monthly searches for it in the US. Your buyers search for the problem your product solves, so most of the plan targets policy, comparison and integration searches instead.

Do we need a booth at SHRM or HR Tech?

No. Both events create a burst of HR discussion online. A useful recap post, a few booked meetings with attendees and timely content get you much of the visibility at $0 extra spend.

How long until content brings demos?

Expect months, not weeks. Compliance and how-to content compounds as it gets indexed, linked and updated; early wins usually come from review sites and integration listings while content builds.

Will Outpost post in r/humanresources for us?

Outpost does not astroturf. It finds threads where your expertise fits, drafts a disclosed answer that follows that community's rules, and logs it, and you approve what goes out.

Which Outpost plan fits an HR SaaS?

Growth ($149) covers listings, content and community work for most early HR tools; Runway ($49) suits pre-launch products. Every plan works at $0 extra spend.
