SaaSProject management software playbook

Win one workflow, then the whole board

Nobody switches project tools for 'better project management'. They switch for a workflow their current tool handles badly. Outpost helps you own that wedge with templates, integration listings and honest comparisons.

01 · DISCOVERY

How customers find you

Teams rarely search for a new project tool from scratch. More often they search for a template ("content calendar template", "sprint retrospective template"), a fix for a workflow ("client approval workflow"), or an alternative to the tool they've outgrown. They also browse the app marketplaces of tools they already use: Slack, Jira and Confluence through the Atlassian Marketplace, and Google Workspace. A template or integration that solves today's problem is often the first touch.

The buying journey

Someone hits a workflow pain → finds a template or integration that solves it → tries the tool alone or with one teammate → invites the team if it sticks → a team lead or ops person approves the paid plan. Adoption spreads inside the team before anyone pays.

What SaaS teams aim for

  • Pick one wedge workflow and rank for the searches around it
  • Publish a template gallery whose pages rank on their own
  • Get listed in the Slack, Atlassian and Google Workspace marketplaces
  • Turn single-user sign-ups into team invites

02 · CHANNELS

Channels, ranked by what matters most

Ranked 5 (essential) to 1 (optional) by the research for this industry.

  1. Template gallery pages

    Essential

Each template is a page that can rank for "[workflow] template" and opens straight into the product. It's the most direct route from search to activation in this category.

  2. Slack Marketplace

    High

Teams look for tools that work inside Slack. Listing needs at least 10 active workspaces and 10 weekly active users, so plan it once you have early traction.

  3. Alternatives and comparison pages

    High

Buyers name the tool they're leaving. Honest comparisons focused on your wedge convert better than feature tables.

  4. Atlassian Marketplace

    Medium

Jira and Confluence users shop here for add-ons. A focused add-on can be the wedge that introduces your main product. Atlassian aims to decide on listings within a week.

  5. Google Workspace Marketplace

    Medium

Reaches teams who live in Gmail, Calendar and Drive. Needs OAuth verification and app review.

03 · YOUR FIRST MONTH

A 30-day campaign that costs $0

A sample month. Your own plan is built from your audit, stage and goal, and paid options only ever appear as optional boosts.

  1. Week 1 · days 1–7

    Define the wedge

    • Choose the one workflow your best customers adopted you for (client approvals, content production, agency retainers, hardware sprints)
    • Rewrite the homepage headline and first screen around that workflow
    • List 10-15 template searches around the wedge and check which ones already have weak results
  2. Week 2 · days 8–14

    Template gallery

    • Publish the first five template pages, each with a real example, when to use it and a one-click copy into the product
    • Add structured breadcrumbs and internal links so templates link to the workflow pages
    • Submit the template URLs to Search Console
  3. Week 3 · days 15–21

    Marketplace plan

    • Check eligibility against Slack's usage thresholds and the Atlassian and Google Workspace review requirements
    • Prepare listing copy, 1600x1000 images for Slack, a privacy policy page and a support route that answers within two business days
    • Submit the first listing you're eligible for
  4. Week 4 · days 22–30

    Comparisons and activation

    • Publish one comparison page against the tool your trial users leave most, focused on the wedge workflow
    • Add an 'invite a teammate' prompt to each template so single users bring their team
    • Review which templates led to activated teams, and plan the next five

06 · AVOID

Common mistakes

  1. Marketing 'all-in-one' to everyone

Every incumbent already claims all-in-one. A small tool needs a wedge that a specific team can feel in the first session.

  2. Template pages with no real content

A screenshot and a sign-up button doesn't rank or help. Each template needs a worked example, when to use it, and a way to copy it into the product right away.

  3. Applying to marketplaces before you're eligible

Slack rejects apps with under 10 active workspaces and under 10 weekly active users, and Google rejects apps still in testing. Rejections cost time, so check first.

  4. Measuring sign-ups instead of team invites

In this category a single user who never invites anyone rarely pays. Judge channels by teams activated.

07 · WHAT OUTPOST DOES

How Outpost helps

  • Finds the wedge in your own data (the pages and searches that already earn impressions) and plans articles around it.

  • Plans and drafts articles about your product's real templates and workflows, published on your domain with Search Console tracking.

  • Checks marketplace eligibility (usage thresholds, privacy, support and image specs) and prepares each listing. Marketplace submissions go through your own developer accounts.

  • Drafts honest, dated comparison pages focused on your wedge, and keeps them updated as competitors change.

  • Reports which articles and listings earned impressions and clicks, with a receipt for each published asset.

Every action Outpost takes gets a receipt: the live URL, a timestamp and what it drove, or “nothing yet”.See how receipts work

08 · QUESTIONS

Frequently asked questions

Is it too late to market a new project management tool?

For a general-purpose tool, it's very hard. For a tool that's clearly best at one workflow for one kind of team, there's still room, because incumbents serve those teams with generic pages and templates.

Do template galleries really bring customers?

They can be the most efficient source in this category, because the searcher has a task right now and the template opens inside your product. They work only if each template is genuinely useful without signing up.

Which marketplace should I list in first?

The one where your wedge users already work. Slack needs real usage first (10+ active workspaces and 10+ weekly active users). Atlassian suits Jira-centred workflows, and Google Workspace suits teams that live in Gmail and Drive.

Should I compare myself with the big tools?

Yes, focused on your wedge. Say plainly what the big tool does better overall and where you're better for this workflow. That honesty is what makes the page convert.

How long until templates rank?

Usually a few months. Publish seasonal templates well before the season, and expect the gallery to grow in value as you add pages.
