AppsTo-do and productivity apps playbook

Your to-do app needs a sharper reason to switch, not more features

To-do apps face the most crowded store searches and the most opinionated users. Outpost makes your switching story easy to find on alternatives pages, in workflow content and in the communities where people tinker with their systems.

Free. We read your public website and show your score, top fixes and competitors.

01 · DISCOVERY

How customers find you

People rarely look for a to-do app from scratch. They hit a wall with the one they use, like a price change, a missing feature or a platform gap, and then search 'X alternative', browse AlternativeTo or ask in productivity and GTD communities. Workflow content shapes the choice: GTD setups, time-blocking, ADHD-friendly systems. Platform fit matters a lot: Mac and iPhone users look for native apps and widgets, and cross-platform users care about sync above all.

The buying journey

Try the free tier, import existing tasks, and live in it for a week or two before paying for sync, reminders or collaboration. Switching costs are real, so an import tool and an honest 'why us instead of X' page are part of acquisition, not an afterthought.

What app makers aim for

  • Own the 'alternative to X' searches for the apps your users leave
  • Rank in the stores for a niche-plus-platform query instead of 'to do list'
  • Get recommended in productivity and GTD communities
  • Turn workflow content into trials
  • Run a Product Hunt launch that leaves a lasting page

02 · CHANNELS

Channels, ranked by what matters most

Ranked 5 (essential) to 1 (optional) by the research for this industry.

  1. Alternatives directories and comparison pages

    Essential

Switchers search 'X alternative' and browse AlternativeTo. Honest comparison and migration pages on your own site catch the same intent. Competitor names belong there, not in your store metadata.

  2. App Store and Google Play search (niche-plus-platform)

    High

'To do list' is saturated. 'Task manager with natural language', 'offline to-do for Mac' or 'ADHD planner' are winnable. Apple's guidelines forbid packing metadata with popular app names, so ASO has to stand on your own features.

  3. Workflow content

    High

People choose a system before a tool. Deep guides and short videos showing a real GTD, time-blocking or ADHD-friendly setup in your app persuade better than feature lists.

  4. Productivity and platform communities

    High

Productivity, GTD and platform communities like r/macapps discuss tools constantly. r/macapps allows self-promotion at most once every 30 days and requires a set format with disclosure, so posts must be planned.

  5. Mac distribution (Mac App Store, Setapp)

    Medium

If you have a Mac app, Setapp gives curated exposure to subscribers who browse for tools. It wants mature software that fills a category gap.

  6. Product Hunt launch

    Supporting

Productivity tools are a natural fit on Product Hunt. Launch at 12:01 AM PT with something people can use immediately, because waitlisted products aren't featured.

How you make money changes the plan

The same channel can be a strong fit for a paid game and a poor one for a free one. Each line below is a rule or rating from Outpost's knowledge base, with its source; your own plan is built from your answers.

Free with in-app purchases

  • Not allowedSetapp

Setapp does not allow in-app purchases, donations, paid features, advertising, demo or trial versions, or activation and licensing mechanisms inside the Setapp build.

  • Poor fitSetapp

Setapp accepts only mature, well-reputed Mac software that fills category gaps and passes a technical review with the Setapp SDK; any iOS companion must also be on the App Store as a free app with IAP that unlocks everything.

Free with ads

  • WorksApple App Store

Apple rejects apps designed predominantly to display ads, limits display ads to the main app binary, requires interstitials to be labelled as ads with easy close/skip buttons and a way to report inappropriate ads, and bars third-party ads and analytics in Kids Category apps (except limited contextual ads from services that human-review creatives).

  • WorksGoogle Play

Google Play bans unexpected full-screen interstitials, full-screen interstitials that cannot be closed after 15 seconds (opt-in or non-interrupting ones, such as after a score screen, may run longer), ads that mimic app or system UI, and lock-screen monetization (unless the app is a lock screen); rewarded ads the user opts into are exempt.

  • Not allowedSetapp

Setapp does not allow in-app purchases, donations, paid features, advertising, demo or trial versions, or activation and licensing mechanisms inside the Setapp build.

Subscription

  • WorksApple App Store

Apple auto-renewable subscriptions must provide ongoing value, last at least seven days, work across all of the user's devices, and clearly describe what the user gets before asking them to subscribe.

  • Worksr/macapps

r/macapps self-promotion reportedly follows a Problem / Comparison / Pricing post format with disclosure, has a moderator 'Trust' path to the main feed, and sends other promotional posts to the monthly 'App Pile' megathread; the once-per-30-days limit is unverified.

  • Not allowedSetapp

Setapp does not allow in-app purchases, donations, paid features, advertising, demo or trial versions, or activation and licensing mechanisms inside the Setapp build.

One-time purchase

  • Poor fitSetapp

Setapp does not allow in-app purchases, donations, paid features, advertising, demo or trial versions, or activation and licensing mechanisms inside the Setapp build.

  • Strong fitSetapp

Setapp pays developers through a usage-based Membership pool (70% to developers; Setapp keeps 10% and gives 20% to whoever referred the user) or a Single-App model where Setapp takes 15% of subscriptions and 25% of one-time sales.

  • Poor fitSetapp

Setapp accepts only mature, well-reputed Mac software that fills category gaps and passes a technical review with the Setapp SDK; any iOS companion must also be on the App Store as a free app with IAP that unlocks everything.

Paid random items (gacha, loot boxes)

  • Apple App Store

On the App Store and Mac App Store, unlocking features, subscriptions, in-game currency, premium content or a full version must use Apple In-App Purchase, and apps may not use their own unlock mechanisms such as license keys.

  • Apple App StoreSome markets only

Since iOS 26.5 (terms published 18 June 2026), Brazilian iOS apps may use alternative in-app payments or link out to the web: App Store commission is 21% (10% for Small Business Program members and for subscriptions after year one) plus 5% if Apple processes the payment, link-out sales within 7 days carry a 15% (or 10%) store-services commission, and alternative marketplaces carry a 5% Core Technology Commission.

  • Google PlaySome markets only

Google Play user choice billing (an alternative billing system offered alongside Google Play billing, with a 4% service-fee reduction on those transactions) is available in India, and in Indonesia and Brazil under the pilot.

  • Apple App StoreSome markets only

Since Japan's Mobile Software Competition Act took effect in December 2025 (iOS 26.2), iOS apps in Japan can be distributed through Apple-authorised alternative marketplaces and can offer alternative payment processing or web purchase links alongside Apple IAP; App Store commission is 10% or 21% plus 5% for Apple IAP, web-link purchases pay 15% (10% for reduced programs), and apps outside the App Store pay a 5% Core Technology Commission.

Technical eligibility

  • Apple App Store

Apple moved to a new age-rating system; developers had to answer the updated age-rating questions by 2026-01-31 to avoid an interruption when submitting app updates.

  • Apple App Store

An App Clip's uncompressed, thinned main bundle may be at most 15 MB for iOS 16 and 10 MB below iOS 16; 100 MB is allowed only for iOS 17+, digital-invocation-only clips used where reliable internet is likely.

  • Apple App Store

App privacy details (the 'nutrition label'), including the data practices of third-party SDKs, are required to submit new apps and app updates to the App Store.

  • Apple App Store

App Review requires final builds with working URLs, and demo account details (with the back end switched on) if the app has a login; incomplete bundles and builds that crash are rejected (Guideline 2.1).

06 · AVOID

Common mistakes

  1. Competing on 'simple and beautiful'

Almost every to-do app says that. Users switch for a specific reason, so name it and build every page around it.

  2. Stuffing competitor names into store metadata

Apple's guideline 2.3.7 forbids packing metadata with popular app names or trademarked terms, and Apple can modify keywords. Put comparisons on your website instead.

  3. No import path

If moving hundreds of tasks takes an afternoon, most switchers give up. A one-click import from the top two competitors is a marketing feature.

  4. Launching from a waitlist

Product Hunt doesn't feature waitlisted products unless people get immediate access, and AlternativeTo doesn't accept closed betas. Launch when people can actually use it.

  5. Feature lists instead of workflows

People choose a system first. A guide showing a real week planned in your app beats a grid of checkmarks.

07 · WHAT OUTPOST DOES

How Outpost helps

  • Prepares AlternativeTo, Product Hunt and other relevant directory listings for you to submit, and records each with a receipt and status.

  • Drafts fair comparison and migration pages for the apps your users really switch from.

  • Tracks community rules like r/macapps' once-per-30-days limit and times your posts so you never break them.

  • Rewrites your store metadata within Apple's guidelines around niche-plus-platform keywords you can win.

  • Tracks whether AI assistants recommend you for prompts like 'best to-do app for ADHD on Mac'.

Every action Outpost takes gets a receipt: the live URL, a timestamp and what it drove, or “nothing yet”.See how receipts work

08 · QUESTIONS

Frequently asked questions

How can a new to-do app compete with the big names?

By being the obvious choice for one group of people and saying so everywhere. 'Best for people who plan by time blocks on Mac' is winnable. 'Best to-do app' isn't. Your comparison pages, store screenshots and community answers should all tell the same story.

Can we put competitor names in our App Store keywords?

Apple's guidelines say not to pack metadata with trademarked terms or popular app names, and Apple may change inappropriate keywords. Put fair comparisons on your website, where readers searching 'X alternative' will find them.

Is Product Hunt still worth it for productivity apps?

As a launch moment and a permanent page, yes, as long as the product is usable that day. Don't ask for upvotes; Product Hunt prohibits it. The long-term value is its alternatives pages and the backlink.

Should a Mac to-do app join Setapp?

If it's mature and fills a gap in Setapp's catalog, it can add steady exposure through a revenue share with no upfront fee. It complements the Mac App Store and your own site rather than replacing them.

How long does this take to show?

Directory listings and a launch bring immediate but short spikes. Comparison pages and workflow guides build over months and keep converting, because people switch apps all year.

Do we need paid ads to grow?

No. Every Outpost plan works at $0 extra spend. In this category, ads mostly buy expensive clicks on generic terms, while switching-intent content brings users who already know what they want.
