SaaSCRM for small teams playbook

Don't be another CRM. Be the CRM for someone.

Small teams rarely search for 'CRM'. They search for a CRM for their trade, an alternative to the tool they're outgrowing, or a way to stop living in spreadsheets. Outpost builds your presence where those searches land.

01 · DISCOVERY

How customers find you

Small teams usually go looking for a CRM after a trigger: leads slipping through a spreadsheet, a first sales hire, or a price rise from their current tool. They search for "CRM for [their industry]", "[big CRM] alternative" or "simple CRM for [team size]", then read comparison pages and review sites like G2 and Capterra. Many also browse the add-on marketplaces of tools they already live in, such as the Google Workspace Marketplace for Gmail or Zapier's app directory.

The buying journey

Trigger (lost deal, new hire, price rise) → search a niche or alternatives phrase → shortlist two to four CRMs from comparison pages and review sites → free trial with their own data imported → decide on fit with existing tools (email, calendar, forms) and per-seat price. Migration difficulty is the main reason they stall.

What SaaS teams aim for

  • Own the search results for one or two niches (a trade, a team size, a workflow)
  • Rank for "[incumbent] alternative" searches with honest comparison pages
  • Collect enough reviews to show up in G2 and Capterra category pages
  • Make importing from spreadsheets and other CRMs easy enough that trials convert

02 · CHANNELS

Channels, ranked by what matters most

Ranked 5 (essential) to 1 (optional) by the research for this industry.

  1. Niche landing pages

    Essential

"CRM for [roofers / agencies / recruiters]" searches have clear intent and fewer big competitors. A real niche page shows that trade's pipeline stages, fields and templates.

  2. Alternatives and comparison pages

    Essential

Buyers leaving an incumbent search for alternatives by name. Factual, dated comparisons with a migration path are what convert them.

  3. Review sites (G2, Capterra)

    High

Buyers shortlist from category pages ordered by ratings and reviews. Free profiles exist, but G2 only accepts B2B products that are out of beta.

  4. Gmail and Zapier listings

    High

A Gmail add-on in the Google Workspace Marketplace and a Zapier integration put the CRM where small teams already work, and Zapier's integration pages rank in search.

  5. Migration and import guides

    Medium

"How to move from [tool] to [you]" or "spreadsheet to CRM" pages catch buyers at the decision point and lower the biggest barrier.

03 · YOUR FIRST MONTH

A 30-day campaign that costs $0

A sample month. Your own plan is built from your audit, stage and goal, and paid options only ever appear as optional boosts.

  1. Week 1 · days 1–7

    Choose the niche

    • Pick one or two niches where your current customers cluster, using your own sign-up data
    • Write the niche page: that trade's pipeline stages, example fields and a template they can import
    • Connect Search Console and record the baseline for niche and alternatives searches
  2. Week 2 · days 8–14

    Alternatives pages

    • List the three incumbents your trial users mention most
    • Publish one dated, sourced alternatives page per incumbent with an honest 'when to stay with them' section
    • Publish a migration guide for the most common source tool, including spreadsheets
  3. Week 3 · days 15–21

    Review-site presence

    • Claim free G2 and Capterra profiles and fill in categories, pricing and screenshots
    • Ask active customers for reviews through the platforms' own links, with neutral wording and no rating-based incentives
    • Submit to SaaSHub and AlternativeTo, naming the incumbents you replace
  4. Week 4 · days 22–30

    Integration listings

    • Plan the Zapier integration listing (it needs a public app and at least 3 users with live Zaps)
    • Scope a Gmail add-on and its OAuth verification for the Google Workspace Marketplace
    • Review which niche and alternatives pages brought trials that imported data

06 · AVOID

Common mistakes

  1. Positioning as 'a simpler CRM for everyone'

Every CRM says simple. Without a niche, you compete head-on with the biggest brands for the broadest searches and lose.

  2. Alternatives pages that only praise you

Buyers can tell. Pages that admit when the incumbent is the better choice earn trust and hold rankings longer.

  3. Buying reviews or rewarding five stars

G2 and Capterra limit incentives, require them to be disclosed and forbid tying them to a positive rating. Breaking the rules can cost you the profile.

  4. Ignoring the import step

A trial user who can't bring their contacts and deals in during the first session rarely converts, however good the marketing was.

07 · WHAT OUTPOST DOES

How Outpost helps

  • Finds the niches where your site already earns impressions in Search Console, and drafts niche pages built around that trade's real workflow.

  • Researches the incumbents buyers compare you with and drafts dated, sourced alternatives pages, checked claim by claim against your confirmed facts.

  • Prepares G2, Capterra, SaaSHub and AlternativeTo listings for you to submit, with a receipt for each one: live URL, link status and the clicks it sent.

  • Tracks whether AI assistants mention you when asked for a CRM for your niche, and which pages they cite.

Every action Outpost takes gets a receipt: the live URL, a timestamp and what it drove, or “nothing yet”.See how receipts work

08 · QUESTIONS

Frequently asked questions

Can a small CRM really compete in such a crowded category?

In the broad 'CRM' search results, rarely. In a niche, often yes, because the big players serve that trade with generic pages. Pick a niche where you have customers and build the most useful pages for it.

Is G2 or Capterra worth it without paying?

The free profiles are worth claiming. Category pages are ordered partly by reviews, and buyers check them before buying. Free profiles don't include a website link, so treat them as trust signals, not traffic.

Should I publish '[incumbent] alternative' pages?

Yes, if they're factual. Name what the incumbent does well, where you differ, what migration takes and when they're the better choice. Date every claim and update it.

Which integrations matter most for marketing?

The ones your niche already uses. For most small teams that's email and calendar (Gmail add-ons) and Zapier. Each listing is also a page buyers find through search.

How long until this brings trials?

Directory listings help within weeks. Niche and alternatives pages usually take a few months to rank, then keep bringing trials every month after.
