SaaSCustomer support software playbook

Get your help desk onto the shortlist when teams decide to switch

Support teams rarely shop for fun. They switch when a renewal, a price change or a new channel forces it, and they compare you against the incumbent line by line. Outpost builds the alternative pages, marketplace listings and review flow that meet them at that moment.

01 · DISCOVERY

How customers find you

Support leads and ecommerce founders start from the tool they want to leave, so '[incumbent] alternative' and pricing-comparison searches carry most of the buying intent. The second path is the app marketplace of the platform they already run: ecommerce teams browse the Shopify App Store, and teams that stay on Zendesk extend it from the Zendesk Marketplace. Review grids on G2 and Capterra are the third path, and peers in support communities such as Support Driven and r/CustomerService shape the shortlist.

The buying journey

Trigger (renewal quote, seat price increase, new channel such as chat or social) -> search for alternatives and pricing -> review-site grid and two or three vendor pages -> trial with a real inbox or test store connected -> check the migration of tickets, macros and help-center articles -> sign-off from the support lead and, on larger teams, IT or security.

What SaaS teams aim for

  • Rank for '[incumbent] alternative' and '[incumbent] pricing' searches
  • Installs and active trials from the Shopify App Store or other marketplaces
  • A steady stream of honest reviews from real support agents
  • Migration content that removes the fear of moving ticket history
  • Mentions in AI-assistant answers for 'best help desk for small teams'

02 · CHANNELS

Channels, ranked by what matters most

Ranked 5 (essential) to 1 (optional) by the research for this industry.

  1. Alternative, pricing and migration pages

    Essential

Buyers search by the tool they are leaving. A page per incumbent that covers price model, migration of tickets and macros, and real gaps is the highest-intent content in this category.

  2. Shopify App Store and other marketplaces

    Essential

For ecommerce support, the marketplace is where merchants look. Shopify's rules are strict: no statistics or superlatives in the listing, no testimonials, neutral review requests and a demo screencast for review.

  3. Review sites (G2, Capterra)

    High

Support software is bought from grids. Reviews from actual agents carry weight; incentives must follow each site's rules and never depend on a positive rating.

  4. Integration directories (Zendesk Marketplace, Zapier)

    High

If you are an add-on (QA, AI drafting, analytics), the Zendesk Marketplace is the storefront. Zendesk requires global OAuth for multi-customer apps and a listing that discloses the data you access.

  5. Templates and practical guides

    Medium

Support leads search for macros, SLA templates, escalation policies and tone guides. Useful templates earn links and bring the exact buyer to your site.

  6. Support practitioner communities

    Supporting

Communities like Support Driven and r/CustomerService are where leads ask what peers use. Founders who answer well, and disclose who they are, get remembered.

06 · AVOID

Common mistakes

  1. Feature checklists instead of migration answers

Every help desk has tickets, macros and a help center. Switchers want to know how history, tags and articles move over, and what breaks. Answer that first.

  2. Breaking marketplace listing rules

Shopify prohibits statistics, superlatives like 'the best', testimonials in the listing, and incentivized reviews. Violations can mean demotion or delisting.

  3. Buying or pressuring reviews

Review sites and marketplaces police incentives. Ask every customer the same neutral question at a moment of real value, and accept the ratings you get.

  4. Launching into the holiday freeze

Ecommerce support teams avoid changing tools during their busiest weeks. A big launch in late November reaches people who cannot act on it.

07 · WHAT OUTPOST DOES

How Outpost helps

  • Builds alternative, pricing and migration articles for each incumbent your customers switch from

  • Writes integration articles for the help desks and stores your customers use, from your confirmed facts

  • Prepares G2, Capterra, AlternativeTo and SaaSHub listings with consistent categories for you to submit, with a receipt for every one

  • Publishes template articles (macros, SLAs, escalation policies) that support leads search for and link to

  • Tracks AI-assistant answers for prompts like 'best help desk for Shopify' so you can see when you start appearing

  • Reports clicks by source next to the trial activations you share

Every action Outpost takes gets a receipt: the live URL, a timestamp and what it drove, or “nothing yet”.See how receipts work

08 · QUESTIONS

Frequently asked questions

Is it worth writing 'Zendesk alternative' pages when everyone else does?

Yes, if yours is more useful. Most are thin feature tables. A page that explains the migration, the real price at a specific team size and where you are weaker is rarer and earns trust.

Should we launch on the Shopify App Store or our own site first?

If your buyers are merchants, the App Store is their discovery surface, so prepare for its review process early. Your own site still carries comparison and migration content that the listing cannot.

How do we get reviews without breaking rules?

Ask every active customer, using neutral wording, at a moment of value. Shopify bans incentivized reviews outright; G2 allows limited disclosed incentives that cannot depend on a positive rating. Follow the strictest rule that applies.

How long before content brings trials?

Alternative pages in this category are competitive, so expect a few months before they rank well. Marketplace listings and review sites can bring evaluators sooner.

We sell an AI support agent. Does anything change?

Buyers will ask how it fails. Publish how handoff to a human works and what data the model can see. Avoid resolution-rate claims you cannot document.

Does this need an ad budget?

No. Every Outpost plan works at $0 extra spend. Marketplaces, review sites and directories here have free listings; sponsored placements are optional.
