01 · DISCOVERY

How customers find you

Almost every note-taking user already has notes somewhere, so discovery starts with frustration: a price change, slow sync, a missing feature, a worry about who owns the data. Those users search '[incumbent] alternative' or 'X vs Y', browse AlternativeTo, and ask in communities such as r/PKMS, r/NoteTaking and app-specific subreddits, where recommendation threads are a staple. Productivity YouTubers and Mac and iPad writers shape the shortlist for the more engaged end of the market.

The buying journey

Switchers shortlist two or three apps, test each with a real slice of their notes, and decide on import quality, sync reliability, platforms covered and whether they can get their data back out. The switching cost is high, so trust signals (export formats, local-first storage, a clear pricing history) weigh more than feature counts. Once someone moves years of notes, they rarely move again, which is why each won switcher is worth a lot.

What app makers aim for

  • Rank for '[incumbent] alternative' and 'X vs Y' searches with pages people trust
  • Make import from the major tools painless and visible
  • Become a name that comes up in PKM recommendation threads
  • Explain data ownership and export clearly enough to remove the biggest switching fear
  • Reach a specific audience (students, researchers, writers) rather than everyone

02 · CHANNELS

Channels, ranked by what matters most

Ranked 5 (essential) to 1 (optional) by the research for this industry.

  1. Alternatives and comparison pages

    Essential

The highest-intent searches in this category name a competitor. Honest '[incumbent] alternative' and 'X vs Y' pages, plus listings on AlternativeTo, catch people at the moment they decide to leave.

  2. Import and migration content

    Essential

Import is the real conversion step. Guides that show exactly what carries over from Evernote, Notion, Apple Notes or Markdown folders, and what does not, rank for migration searches and remove the biggest objection.

  3. PKM and productivity communities

    High

r/PKMS, r/NoteTaking and similar forums run constant 'which app should I use' threads. Members recognize and respect makers who explain trade-offs honestly; they also notice and resent astroturfing.

  4. Productivity YouTube and newsletters

    Medium

Workflow videos and setup tours shape the shortlist for heavy users. A creator showing a real workflow in your app does more than a feature tour you produce yourself.

  5. Launch platforms (Product Hunt, Show HN)

    Medium

Note apps with a clear technical angle (local-first, end-to-end encrypted, open file format) tend to find an audience here; generic note apps do not.

  6. Apple and Mac press

    Supporting

For Mac and iPad note apps, an editorial mention from a site like MacStories reaches exactly the users who switch tools deliberately.

BUSINESS MODEL · LIVE

How you make money changes the plan

The same channel can be a strong fit for a paid game and a poor one for a free one. Each line below is a rule or rating from Outpost's knowledge base, with its source; your own plan is built from your answers.

Subscription

One-time purchase

  • WorksMac App Store

Non-subscription apps on Apple stores may offer a free time-limited trial only through a free (Tier 0) non-consumable IAP named 'XX-day Trial', disclosing its length and later charges before it starts.

  • WorksMac App Store

Mac App Store apps must be sandboxed and self-contained, may not show a license screen, require license keys or use their own copy protection, and must update only through the Mac App Store.

Freemium

  • Strong fitAlternativeTo

AlternativeTo classifies apps as Free, Freemium (free version can 'perform the main purpose of the app'), Free for personal use or Commercial (time- or usage-limited versions count as Commercial), offers an 'Only Open Source' filter, rejects Coming Soon, closed/private beta, invite-only and Early Access apps, and will probably accept open betas.

  • WorksHacker News - Show HN

Show HN posts must be something people can try now, 'ideally without barriers such as signups or emails', must be non-trivial work the poster made and will discuss ('Don't post quickly-generated one-offs'), and landing pages, fundraisers, sign-up pages, newsletters and reading material are off-topic.

  • WorksHacker News - Show HN

On Show HN in the year to 2026-10-20, posts whose titles signal open source or self-hosting reached 100+ points slightly more often (2.0% vs 1.6%), while AI/LLM/agent-titled posts, 29% of all posts, did so about half as often (1.0% vs 2.0%).

Paid random items (gacha, loot boxes)

  • Apple App Store

On the App Store and Mac App Store, unlocking features, subscriptions, in-game currency, premium content or a full version must use Apple In-App Purchase, and apps may not use their own unlock mechanisms such as license keys.

  • Apple App StoreSome markets only

Since iOS 26.5 (terms published 18 June 2026), Brazilian iOS apps may use alternative in-app payments or link out to the web: App Store commission is 21% (10% for Small Business Program members and for subscriptions after year one) plus 5% if Apple processes the payment, link-out sales within 7 days carry a 15% (or 10%) store-services commission, and alternative marketplaces carry a 5% Core Technology Commission.

  • Some markets only

Brazil's ECA Digital (Law 15.211/2025), in force since 17 March 2026, bans loot boxes (paid random virtual items or advantages whose content or usefulness is unknown in advance) in games aimed at children and adolescents or likely to be accessed by them under the game's indicative age rating, and requires reliable age verification, protective defaults and parental tools.

  • Google PlaySome markets only

Google Play user choice billing (an alternative billing system offered alongside Google Play billing, with a 4% service-fee reduction on those transactions) is available in India, and in Indonesia and Brazil under the pilot.

Technical eligibility

  • Mac App Store

Mac App Store apps must be sandboxed (Guideline 2.4.5(i)); Valve states Steam is not compatible with the com.apple.security.app-sandbox entitlement, so a Steam build and a Mac App Store build usually need separate configurations.

  • Mac App Store

Since 2025-02-18, macOS apps uploaded to App Store Connect (TestFlight or App Store) must not contain the com.apple.quarantine extended attribute on any file.

  • Mac App Store

Mac App Store apps must be packaged with Xcode (no third-party installers), be a single self-contained bundle, update only via the Mac App Store, not download extra code, not ask for root, and not use license keys or their own copy protection (Guideline 2.4.5).

  • Product Hunt

Product Hunt does not require a live product: a post can be marked 'not available yet'; the primary link must be the product's own page (not press or blogs), company accounts cannot post, new accounts must finish onboarding, a GIF thumbnail must be under 3MB and the gallery needs at least two images.

03 · YOUR FIRST MONTH

A 30-day campaign that costs $0

A sample month. Your own plan is built from your audit, stage and goal, and paid options only ever appear as optional boosts.

  1. Week 1 · days 1–7

    Positioning against real alternatives

    • Audit the site and store listings for the one sentence that says who the app is for and what it replaces
    • List the three tools your users most often come from and the reasons they left, from support emails and reviews
    • Create or claim the AlternativeTo listing and link it to those incumbents
    • Check which AI-assistant answers to 'best note-taking app for [audience]' mention you, and which sources they cite
  2. Week 2 · days 8–14

    Import and comparison pages

    • Publish an import guide for the most common source tool with screenshots and an honest list of what does not carry over
    • Publish one '[incumbent] alternative' page that names where the incumbent is better
    • Add an export and data-ownership section to the pricing or FAQ page
    • Submit to SaaSHub and, for Mac apps, the relevant Mac directories
  3. Week 3 · days 15–21

    Community presence

    • Read the rules of r/PKMS, r/NoteTaking and one audience-specific community (students, academics or writers)
    • Answer recommendation threads where your app genuinely fits, disclosing that you build it
    • Share a workflow write-up (how a researcher organizes sources, for example) rather than a feature list
    • Collect the objections people raise and feed them into the FAQ
  4. Week 4 · days 22–30

    Launch moment

    • Prepare a Show HN or Product Hunt launch around a concrete technical angle such as local-first sync or an open format
    • Pitch one Mac or productivity writer with a specific workflow story, not a press release
    • Publish a second import guide for the next most common source tool
    • Compare search impressions for alternative and import pages against week 1

06 · AVOID

Common mistakes

  1. Positioning as 'the all-in-one workspace'

That slot is taken. Switchers choose an app because it does one thing better for people like them, so say who it is for and what it replaces.

  2. No visible import path

If the import is buried, or quietly drops formatting and attachments, people abandon during the trial. Document what carries over and what does not; even third-party import tools publish lists of what they lose.

  3. Vague answers about data

'Your data is safe' does not answer 'can I get my notes out in a usable format?'. Name the export formats and where the files live.

  4. Dishonest comparison pages

Readers of 'X vs Y' pages often use both tools. A page that claims you win every row reads as an ad and loses the reader; conceding real trade-offs builds trust.

  5. Promoting in a competitor's community

App-specific subreddits exist for that app's users. Dropping your link into r/ObsidianMD or r/Notion gets removed; general PKM communities are the right place, and even there rules vary.

07 · WHAT OUTPOST DOES

How Outpost helps

  • Finds the competitor and comparison searches your audience uses and drafts honest alternative and 'X vs Y' pages that concede where incumbents are better

  • Writes import guides for each source tool, built from what your importer actually preserves, so the biggest objection is answered before the trial

  • Prepares AlternativeTo, SaaSHub and the Mac directories that fit for you to submit, with a receipt and a recheck for each listing

  • Drafts a disclosed r/macapps or r/software post in each community's required format, for you to post

  • Tracks how AI assistants describe you versus incumbents for 'best note app for [audience]', with the sources they cite

  • Times Show HN or Product Hunt to when you can answer comments, with your technical angle in the post outline

Every action Outpost takes gets a receipt: the live URL, a timestamp and what it drove, or “nothing yet”.See how receipts work

08 · QUESTIONS

Frequently asked questions

Can a small note app compete with Notion, Obsidian or Apple Notes?

Not head-on for everyone. Small apps grow by serving one audience or one value (local-first, a better outliner, academic citations) better than the giants, and by being easy to switch to. That is where Outpost focuses.

Is it okay to name competitors on our site?

Comparison and alternatives pages are common and useful when they are accurate. Use competitors' names factually, avoid implying endorsement, and update the page when they ship changes.

Which communities are worth our time?

General PKM and note-taking communities such as r/PKMS and r/NoteTaking, plus communities for your audience (students, researchers, writers). Read each one's rules first, disclose that you are the maker, and contribute before you share links.

Should we build importers before marketing?

If you have to choose, yes. Marketing brings switchers to the door, and the importer decides whether they stay. Even a basic importer with honest documentation beats a polished landing page with none.

How long until alternative pages bring traffic?

Usually months. Comparison terms are competitive and SEO compounds slowly. Directory listings and community answers tend to produce earlier signals while pages mature.

Do we need to be on Product Hunt?

It helps most when you have a story the launch audience cares about, such as an open file format or a new sync model. For a mainstream note app with no angle, the effort is better spent on import and comparison pages.
